THE RIGHT START

Make the first
conversation count.

A busy practice should not need a clinician to answer every scheduling question. Collect a doctor or department preference and a convenient day before reception follows up.

A PRACTICAL WAY TO START

Your knowledge.
Your team. Your workflow.

Choose a focused starting point, check the information behind each answer, and test the handover before you go live.

01 / PREPARE

Give it reliable information

  • Clinic hours, locations and approved service descriptions
  • Appointment request and cancellation process
  • Staff-approved non-clinical FAQs

Assign an owner to review these sources when your services, prices or opening hours change.

02 / CONNECT

Confirm what can be completed

Only staff or a connected booking system can confirm a slot. No diagnosis is provided.

Check the exact connector and permissions you need. Without a live connection, collect a request for staff to verify.

Speak with WhatsOS
Does a requested time reserve a doctor?

No. Reception or a configured booking system must confirm availability. The conversation should clearly identify the time as a preference.

Can patients ask for a particular doctor?

Yes. Include the approved practitioner directory and collect the preference for staff to review. Do not promise availability.

Can it recommend which specialist to see?

It can explain your published departments. Clinical triage or uncertainty about the right specialist should go to your practice team.

How do we get started with WhatsOS?

Choose the enquiry flow, prepare approved business information and connect your WhatsApp number through the account setup. Agree who takes over, test typical and exceptional conversations, then publish the reviewed configuration.

Can a team member take over the conversation?

Yes. WhatsOS provides a shared inbox for your team. Define who handles enquiries, when the assistant hands over and how the team follows up. Available roles and allowances depend on your plan and configuration.

What happens when a customer opts out?

Opted-out customers must be excluded from broadcast audiences and sending checks. Use the appropriate consent and message-template process for any outbound communication; a previous enquiry is not blanket permission to send promotions.
